Position Purpose: The Assistant Registrar is responsible for maintaining student academic records; evaluating transfer credit; preparing athletic eligibility reports; reviewing applications for graduation; and providing registration and program training. The Assistant Registrar performs these functions independently and with professional discretion under the supervision of the Registrar. These functions are vital to the successful operation of the College and for student recruitment, retention, and success.

 


Examples of Duties / Knowledge & Skills


Essential Job Functions:

  1. Ensures the integrity, accuracy, and security of all academic records of current and former students.
  2. Interprets and enforces college, state, and federal academic policies and regulations.
  3. Maintains confidentiality per the Family Educational Rights and Privacy Act (FERPA).
  4. Serves as contact for telephone, walk-in, and email correspondence for student services questions.
  1. Evaluates the acceptability and determines course equivalency of transfer work from other institutions of higher education or other sources, including prior learning assessment and CORE 42 requirements.
  1. Processing graduation applications to ensure that all requirements have been met or are in progress and notifies applicants and/or faculty of any deficiencies.
  1. Processes and maintains records and reports for Missouri Reverse Transfer students, veterans’ affairs, and WIOA.
  2. Prepares and maintains timely athletic eligibility reporting for NJCAA and NJCCAE.
  3. Administers degree verify, enrollment verification, and transcript request processes through the National Student Clearinghouse and Parchment.
  4. Assists with the preparation and maintenance of office manuals and supplies for student services functions.
  5. Maintains records inventory and retention relative to student services.
  6. Provides Banner registration training to new employees and maintains training manual and resources.
  7. Processes name changes, death notices, date of birth information, social security number change reconciliations, staff and faculty access inactivation. 
  8. Assists co-workers with duties during peak periods.
  1. Other duties as deemed necessary for the function of the College and the department.

Minimum qualifications & Requirements


Required Qualifications:

 

Education/Experience:

  • Bachelor’s degree in related field required
  • Two years of experience in registration or student services in a higher education environment

 

Skills:

  • Attention to detail combined with an emphasis on quality, strong computer skills/aptitude in Microsoft Office
  • Ability to keep and maintain accurate records, work independently with minimal supervision, meet and exceed productivity standards, maintain confidentiality and follow FERPA guidelines
  • A willingness to take on additional responsibility and work collaboratively
  • Other duties as assigned

 

Physical Requirements:

  • Work involves sedentary to light work in an office setting.
  • There is frequent sitting, with walking, standing, and stooping occasionally required.   
  • There is an occasional need to lift objects (up to 10 pounds) and perform other similar actions during the course of the workday.
