Position Purpose: The Course Materials Coordinator is responsible for overseeing and organizing the Campus Store course materials program. This position ensures students have timely and affordable access to all required course materials by coordinating all beginning and end-of-semester processes. Acts as a member of the Campus Store management team.


Essential Job Functions:


  • Manages and organizes the campus store course materials program. Assists with the development and implementation of internal policies and procedures. Reviews and assists in assessing state and federal compliance in course materials issues. 
  • Works closely with lead instructors to determine required and optional course materials needed. Evaluate and suggest new technologies and delivery systems for course content that may enhance affordability initiatives. Work collaboratively with publisher and vendor reps to ensure accuracy of information. Utilizes Campus Store software for maintaining data in the textbook module.
  • Manages appropriate course material inventory levels needed by monitoring enrollment figures, analyzing historical trends, and forecasting needs and trends. Coordinates acquisition of all required and optional course materials that enhance overall efforts in course material affordability by sourcing from multiple vendors and monitoring changes in seasonal course material costs. Research alternatives when course materials are out of stock and communicate these options back to store director.
  • Manage incoming shipment processes. Communicates with publisher and shipping companies about disparities or damage on inbound shipments to effectively resolve issues. 
  • Responsible for submitting requisitions for all course material invoices in a timely manner.
  • Manages and maintains the course materials return processes to ensure overstock is returned within publisher policy timelines.
  • Responsible for managing course material distribution processes that may include both in store pick-up and shipping options utilizing Campus Store software. Responsible for processing, monitoring, and approving all online orders.
  • Oversee all outbound shipment processes using custom shipping software, reviewing monthly to ensure compliance with shipper requirements. Perform routine updates of software as needed. Responsible for purchasing all shipping supplies.
  • Manages and organizes the year-round buyback process, monitor buy back funds to ensure appropriate levels are available in a timely manner, acts as lead buyer, and reconciles monthly. 
  • Manages the textbook rental program, creates improved processes and efficiencies as needed, acts as lead for end of term rental returns, and prepares the end of semester billing report.
  • Address and resolve customer concerns, ensuring efficient resolution of complex issues related to course materials.
  • Train, monitor and mentor staff on all course material related processes. Assist in the general store management as needed.
  • Serve on various campus committees; Attend webinars, state, regional and national educational meetings and associations when budget allows.


Required Qualifications:

Education/Experience:

Minimum Qualifications:

  • Bachelors in Accounting, Finance, or Business preferred. 
  • Ability to understand, manipulate and analyze data.
  • Excellent communication, problem-solving, and organizational skills. 
  • Ability to manage multiple tasks, work collaboratively across departments, and be an effective team member.
  • Ability to work independently.

Preferred Qualifications:

  • Experience in a college or retail setting. 

Physical Requirements:

  • There is frequent walking, standing for long periods of time, and stooping required.  
  • There is a need to lift objects (up to 50 pounds), stock books and supplies, bend, lift and perform other similar actions during the course of the workday.
