SCC seeks a full-time Research Specialist for our Institutional Research and Online E-Learning Departments.
POSITION SUMMARY
Assists the Dean or other supervisor with the department's administrative activities by coordinating various administrative processes and projects for both the Department of Institutional Research and Department of Online E-Learning. Serves as the primary contact of information for faculty, students, colleagues, and visitors. Organizes filing systems and collects departmental and college information and makes it available to department personnel and/or the public.
Serves as a team member of the department in the day-to-day operations, including customer service, preparation and distribution of documents, mail distribution, office supply ordering and inventory, equipment monitoring, calendar management, travel management, and performing related tasks. May assist in monitoring expenditures of departmental budget.
Organizes and maintains electronic filing systems, report maintenance and tracking, including related information specific to operational unit. May assist with developing and generating tables, charts, graphs, or other diagrams for reports and presentations. Provides the department supervisor assistance with data entry, coding, document, distribution and publication.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Demonstrates knowledge of standard office procedures with the ability to provide administrative support to organization and staff. Ability to organize and schedule appointments, make travel arrangements, prepare, and modify documents including correspondence, memoranda, reports, drafts, and spreadsheets.
Ability to work under pressure in a fast-paced work environment, particularly during peak periods. Must be able to handle multiple projects or duties simultaneously, exercising independent judgement to plan, prioritize and execute workload. Demonstrated ability to use logical reasoning to analyze a situation/matter and determine a solution.
Contributes to the accomplishment of team or work unit goals, objectives, and activities; and creating a work environment which supports and promotes diversity and inclusion. May be required to cross-train employees in work unit. Ability to responsibly provide assistance to other workers in the unit providing back-up support and supplemental services during busy periods.
Interacts with people in a professional, open, honest, and welcoming manner supporting the mission and goals of the college. Self-motivated with good organizational and problem-solving skills.
May be required to maintain departmental intranet and internet website, social media platforms and publications.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assists with data entry, coding, proofreading, report/table generation (includes online, hybrid, and remote enrollment demographics), auditing, budgeting, ordering supplies, calendar management, and scheduling. Is the customer service point of contact for students, faculty, and staff for the department on daily questions or for training. Provides the department with timely communication, dissemination and publication of documents, as well as office mail. Completes routine tasks, special projects, and ad hoc requests such as State Legislative Requests, SCC demographic profiling, and organizational census.
Attends all meetings and events as directed by leadership, and type/maintains all notes for the department. Manage Power BI visualizations by entering and coding data and creating/maintaining the reports. Use Microsoft Office Suite daily to prepare correspondence, tables, charts, figures, and graphs for presentations/reports. Create, update, and distribute surveys as a partner or project owner. Compile research and literature on topics and track/log state and/or federal reporting schedules.
Maintains and is the primary administrator for department websites. Assist Deans with Canvas announcements for student communication an orientation courses by: preparing and distributing the schedule for each semester announcements - contact department each week to request announcements for students; compile and design student announcements for Canvas course to be posted each week; monitor activity surrounding announcement views and student engagement; monitor for notification activity that need to be scored; and answer questions or forward to the appropriate Dean. Partner with colleagues as needed to create content for Canvas. Assist Deans with logistics for faculty in-service and professional development.
All other duties as assigned.
MINIMUM KNOWLEDGE AND EXPERIENCE
Associates degree or higher plus two (2) years' experience in related field, OR High School diploma or equivalent with a minimum of four years related experience.
Requires regular and predictable attendance.
